          Create Templates in Design Document Template With Microsoft 365 Word

          Use Microsoft 365 Word to create documents that contain formatted text, including tables of contents, tables, paragraphs, columns, and images in the Microsoft 365 editor. You can also include tokens or variables to replace tokens with object values when you generate the document. To import the data, you can use a Omnistudio Data Mapper to retrieve large amounts of data (for example, over 1,000 records). The Document Template object is a container to hold the DOCX or PPTX file.

          Prerequisite: Ensure that you completed the integration of Microsoft 365 Azure with Salesforce and the Design Document Templates in Salesforce setting is enabled.

          Note The document generation fails if the curly braces for tokens and tokens within tokens aren't balanced in the document templates. An instance of an unbalanced curly brace is illustrated in the example: Product Name - {{product_name1}.

          USER PERMISSIONS NEEDED  
          To create a template:

          DocGen Designer permission set

          AND

          Microsoft 365 Word User permission set

          OR

          Microsoft 365 Word Desginer permission set

          1. From the App Launcher, find and select Design Document Template.
            The Design Document Template list view opens. You can search for existing templates by using the template name.
          2. Click Create Template.
          3. In Template Details, enter these details:
            1. Enter the template name.
            2. Select Microsoft 365 Word as the template type.
            3. Select JSON as the token mapping method.
              In Spring ‘24, Salesforce supports only the JSON token-mapping method.
          4. In Token Mapping Details, enter the Data Mapper Transform name and Data Mapper Extract name, if you’re using Data Mappers.
            This section determines how the template’s tokens are populated. There’s a one-on-one mapping between Data Mappers and document templates designed using the Design Document Template. Existing Data Mappers can be linked to the document template created in the Design Document Template only if those Data Mappers aren’t already associated with other active document templates.
          5. Select the document template usage type.
          6. Save the document template version.
          7. Click Open in Microsoft 365.
            When you open the Microsoft 365 editor for the first time, you must follow the guided flow to log in to your Microsoft 365 account.
          8. Make necessary modifications to the document template.
          9. Save your changes.
          10. Click OK.
          11. Reload the Design Document Template record page.
            You can view the file designed in the Microsoft 365 editor in the previewer.
          12. Save your changes.
          13. You can perform these actions on the template designer:
            • To download the template, click Download File
            • To edit the template, click Open in Microsoft 365.
            • To activate the template, click Activate. After you activate a document template, you can't delete the associated Microsoft 365 Word file.
            • To delete the template, click Delete from the dropdown.
