Customizing a Contract Document

Customize a contract by changing the contract document. You can start a contract with a document template, but you usually need to edit, or customize, the specific contract. You check out a contract to customize it, ensuring that versions are managed properly. When you check out a contract document, sections that appear in gray are restricted. You cannot change them. When you are finished customizing a contract document, you save it and check it in.

Customizing is also known as editing or redlining.

You can download a PDF or Microsoft Word file. The contract document view is read-write. Vlocity CLM locks the contract document version when the procedure begins, and unlocks it when it ends.

Note Server-side document generation isn’t supported with Vlocity CLM operations such as compare, check out to generate or customize, and reconcile.

To customize a contract:

  1. On the Contract record detail page, expand the Contract Documents Visualforce page.

  2. Click Check Out to Customize.

    You receive a message indicating that Vlocity CLM will create a new version of the contract document.

  3. Click Continue.

    Vlocity CLM creates a new version of the contract document from the latest active version, and locks the contract document so other users cannot modify it at the same time.

    The contract opens in HTML format. You can edit any part of the document that is not restricted.

  4. Click the section to edit.

    The rich text editor opens.

  5. Edit the section by typing or using the editor tools.

    When you edit a section, it becomes an nonstandard section. A contract with one or more nonstandard sections becomes a nonstandard contract. Vlocity CLM sets the Nonstandard field on the Contract record.

  6. Click Check In to check in the document.
