Share Folders and Content
Learn how to share folders and content in Content Builder.
Share Guidelines
You can share folder items to other business units without moving them to a shared folder. The shared folder items appear in the local folder of the business unit with a shared icon.
- Sharing content blocks and files are controlled by the Content Builder > Assets > Share permission.
- Templates are controlled by the Email Studio > Content > Templates > Share permission.
- Emails are controlled by the Email Studio > Content > Emails > Share permission.
Share Limits
- You can only share content with 2,000 business units. To share to more than 2,000 business units, use share Across Enterprise if enabled, or duplicate the content and share the duplicates to separate groups. View Content Builder Setup.
- A shared folder can contain a maximum of 5,000 content items. If you require more, create
subfolders and add more there.
Note For Enterprise 1.0, shared emails can only be shared with the Edit Locally permission. To send the shared email, first create a local edit. - A folder can contain up to 100 folders.
All Shared Content View
On the Shared tab, the All Shared Content view summarizes all content shared both to and from your business unit. This content includes content located within shared folders or content shared from the Content Builder grid using the Share action. To determine how a content item is shared, locate the sharing icon on the content item grid. If the arrow is to the left of the icon, the content was shared to your business unit. If the arrow is to the right of the icon, it was shared by your business unit to others. Hovering over the icon provides more information about how the content was shared.
Create a Shared Subfolder
- Right-click on the Shared Content folder or any other folder.
- Select Create Sub Folder.
- Name the folder.
- Select the business units that can access all content created or moved in that folder.
All content in a shared folder is shared with the selected business units. New subfolders of a shared folder by default inherit the parent's business unit settings. A subfolder can only be shared to the same or a subset of business units that its parent was shared to.
