Data Retention and Deletion
Find out what data Einstein Activity Capture stores, how much is stored, and how long it’s retained.

Over time, Salesforce retains a defined amount of Einstein Activity Capture data, guided by the org’s data retention settings. Einstein Activity Capture can automatically capture email, meeting, and contact data from connected user mailboxes based on the configuration. The Activity Platform Hyperforce on AWS processes this data and syncs your data to store in your Salesforce main instance.
Data Retention
The Einstein Activity Capture data retention policy relies on when an activity gets added to Salesforce, not when it occurred. Synced emails and events become Salesforce records and follow your org’s data storage limits. Your admin manages data retention.
If Sync Email as Salesforce Activity isn’t enabled, the retention policy applies to emails and events for orgs. The data stored on Activity Platform Hyperforce doesn’t count towards your Salesforce data storage limits, but it’s subject to the data retention period.
Event data stored in the Activity Platform follows the retention policy.

Retention Period and Deletion
Activity Platform Hyperforce servers use notification subscriptions from the email service to capture new email messages and events. Data stored over time on Activity Platform Hyperforce ranges from 6 to 24 months, depending on the Salesforce license used to access Einstein Activity Capture. Admins can contact Salesforce Support to change the storage amount.
If your org only has Standard Einstein Activity Capture users (no paid licenses): The retention period is 6 months, which means that Salesforce deletes any activity older than 6 months from Activity Platform Hyperforce storage. The data is no longer available on the UI or in other functions. You can request Salesforce Support to adjust the retention within this range (minimum 3 months, maximum 6 for standard).
If your organization has at least 1 paid Einstein Activity Capture license (Sales Cloud Einstein, Inbox, Sales Engagement, or your edition is Performance/Unlimited): The retention period for all data on Activity Platform increases to 24 months by default. This retention period includes data from Standard Einstein Activity Capture users.
Salesforce admins can delete personal data from Salesforce email and events to comply with customer requests. Deleting activities removes them from Activity Platform Hyperforce servers and the activity timeline. Admins can delete activities based on an email address or username.
If your org has Einstein for Sales, Inbox, Sales Engagement, or Revenue Intelligence, the retention policy for that license applies to all Einstein Activity Capture users. After the retention period ends, Salesforce deletes activities older than that time frame. For example, a 24-month retention means that Salesforce removes activities older than 24 months. De-identified Data
Salesforce keeps de-identified data derived from activities for up to 2 years and uses it with machine learning models and third-party data enrichment. The data retention policy doesn’t apply to de-identified data. To opt out of the global data model, see Manage Salesforce Access to Customer Data.
