Share Emails and Events
Users can control how activities that Einstein Activity Capture adds to Salesforce are shared with other users in your org.
Some Einstein features generate business-related insights from emails that Einstein Activity Capture syncs, including emails that aren’t shared, though the content of the emails and the usernames associated with them are hidden. See Control How Activities Added by Einstein Activity Capture Are Shared.
Email Sharing and Privacy with Sync Email as Salesforce Activity
When Sync Email as Salesforce Activity is turned on, Activity Sharing governs email sharing. Activity sharing rules apply to all activities, including meetings, manually logged emails, and tasks.
To protect email privacy, you can choose to capture the full email content or only the header information. Full email content captures all email details. Header information captures only the sender, recipients, date, and time. It doesn’t capture the subject or body. An admin can configure this privacy setting for the entire org, but users can override it and set their own capture preferences.
To protect your org’s data privacy, Salesforce doesn’t store internal emails within the Salesforce data boundary. Internal emails are emails exchanged between the company’s internal domains defined in Setup. These emails aren’t synced as activity records in Salesforce.
Emails involving excluded domains or addresses aren’t stored or shared in Salesforce. Admins can define excluded domains and addresses for all Einstein Activity Capture users. Users can also add their own excluded email addresses.
For Einstein Activity Capture users with email capture enabled in Setup, Salesforce ingests email data from the external email inbox. Salesforce processes email data on the Activity Platform Hyperforce infrastructure outside your main Salesforce instance.
Einstein Activity Capture users who are enabled for email capture in Setup have their email data ingested from the external email inbox. The email data is processed on Activity Platform Hyperforce infrastructure outside your main Salesforce instance.
Event Sharing
Activity Sharing governs event sharing. The activity sharing rules apply to all events conducted through various channels.
Exclude Email Addresses
Admins and end users can exclude emails and events from being added to Salesforce by adding an email address or domain to the Excluded Address list. Emails and events associated with persons or companies added to the Excluded Address list aren’t added to the activity timeline of related Salesforce records. These events and emails aren’t synced between Salesforce and the connected accounts.
The org-wide Excluded Addresses list, which the admin creates, can include domains and email addresses. Users can add more email addresses to their own Excluded Addresses list. See Considerations for Excluding Data from Einstein Activity Capture in Salesforce Help.
