Data Storage and Usage
When a Google or Microsoft account connects, Einstein Activity Capture captures and stores an initial amount of historical data on Activity Platform Hyperforce infrastructure.

Over time, Salesforce retains a defined amount of Einstein Activity Capture data, guided by the org’s data retention settings. Einstein Activity Capture can automatically capture email, meeting, and contact data from connected user mailboxes based on the configuration. The Activity Platform Hyperforce on AWS processes this data and syncs your data to store in your Salesforce main instance.
Data Storage Location
With Einstein Activity Capture, admins can configure automatic capture of three types of data from users’ inboxes: Email, Event, and Contact. Salesforce ingests and stores data types enabled for auto-capture for a user. Here’s how Einstein Activity Capture manages each data type.
- Email Capture: When Sync Email as Salesforce Activity is turned on, Salesforce syncs email data in the Salesforce main instance as Activity and Email Message records. The Activity Platform Hyperforce infrastructure stores and processes email data temporarily for up to 30 days. If Sync Email as Salesforce Activity isn’t turned on, email data is exclusively stored on the Activity Platform Hyperforce infrastructure, and not in your Salesforce main instance.
- Event Capture: The Activity Platform Hyperforce infrastructure stores meeting data, which is subject to a data retention period. Einstein Activity Capture syncs and stores this meeting data as Event records in the Salesforce main instance, which is subject to platform data retention policies. Activity timeline and operational reports include synced event records. You can receive Salesforce platform support for these Event records. The Activity Platform Hyperforce infrastructure retains event data.
- Contact Capture: Salesforce stores contact data as Contact records on the main Salesforce instance. You can use Salesforce platform support for these Contact records. The Activity Platform Hyperforce infrastructure doesn’t store contact data.

Einstein Activity Capture uses the data to add emails to the activity timeline of related Salesforce records. Email Insights, available with Inbox and Einstein Activity Capture, uses the data to create classifications. Recommended Connections, which is available with Inbox and Einstein Activity Capture, uses the data to generate suggestions. If Sync Email as Salesforce Activity is turned on, users can choose to exclude Subject and Body from being added to Salesforce. |
| Passwords and OAuth tokens | The OAuth refresh and access tokens are used to connect users’ Google or Microsoft accounts to Salesforce. When users connect their account to Salesforce with OAuth 2.0, we don’t store their passwords. So, if they change their email password after connecting their account to Salesforce, they don’t reauthenticate against Google or Microsoft. For users who use on-premises Exchange email accounts that use password authentication, we store their passwords. |

The records also include metadata, such as permissions, fields, and page layouts for records such as contacts, leads, and opportunities. Inbox stores metadata for records for up to 24 hours. Einstein Activity Capture stores metadata for records until you delete the data in Salesforce. When you delete the data in Salesforce main instance, it’s also removed from Activity Platform Hyperforce infrastructure servers. |
To associate emails with related Salesforce records, Einstein Activity Capture copies email addresses from contact and lead records and stores them on Hyperforce servers. |
