Considerations for Discovery Framework-Based Data Capture with Field Service Mobile App

Considerations for Discovery Framework-Based Data Capture with Field Service Mobile App

You must consider certain points when you work with the Discovery Framework-based data capture forms.

          Required Editions

          Available in: Lightning Experience
Available in: Enterprise, Unlimited, and Developer Editions where Field Service, Discovery Framework, Discovery Framework Import or Export, and Discovery Framework Data Capture Flow are enabled

Keep these points in mind when you work with the Discovery Framework-based data capture forms.

          • The forms are designed for mobile users, so keep them concise so that they can fill the forms on smaller screens.
          • To ensure a smoother experience when mobile workers gather data by using the Discovery Framework-based data capture forms, they must always keep the Field Service mobile app up-to-date.
          • Discovery Framework-based data capture relies on Briefcase Builder to prime records for offline use. See Briefcase Builder.
          • To launch and submit forms, your mobile workers need Read access to the Assessment Question and Assessment Question Version objects. They also need Create access to the Assessment and Assessment Question Response objects.
          • Only admin profiles and users with the Manage Flow permissions can associate a Discovery Framework Data Capture flow to the Form junction object.
          • By using a custom quick action, your users can launch Discovery Framework Data Capture forms only on Salesforce record pages but not in the Field Service mobile app.
          • When you create expressions to define conditional visibility for questions, you can't use the output of other questions in the expressions. Use external data sources or user profile information to define which questions are visible.
          • Responses to form questions are first stored in an assessment staged data record. So, your users need Create access on the Assessment Staged Data object to store the responses in the assessment staged data record after they submit a form. If the responses are valid, Salesforce creates the final assessment and assessment question response records. However, if the submitted form responses contain errors, your users should review, validate, and edit the incorrect responses in the assessment staged data record. Therefore, your users need Edit access on the Assessment Staged Data object.
          • When mobile workers submit a form, the responses are stored in the Response field on the assessment staged data record as JSON data. This field has a limit of 131,072 characters, and exceeding this limit causes errors or data truncation. Make sure that the JSON data doesn’t exceed the maximum size limit.
          • To check if the responses in a submitted form have errors, create a custom trigger on the Assessment Staged Data object. The trigger checks the Response Processing Status field. If the status changes to Failed, the user gets notified to resolve the errors in the form responses.
