          Automate the Application Review Process

          Use flows to automatically move an individual application through the review process.

          Editions Needed

          To automatically assign the individual application record to the person who's responsible for the next part of the review process, use these flow templates.

          Flow Template What Does It Do?
          Admissions: Initiate Application Reviews Invokes the Create and Assign Application Reviews Sub-Flow when the status of an individual application record is set to In Review.
          Admissions: Review Application Retrieves the user's application review and rubric related to the individual application being viewed. Shows the user screens for completing the rubric and review.
          Application Intake

          Updates the status of an individual application from Processing to In Review.

          Note
          Note To start the automation process, the Intake Screen element of this flow requires that you manually mark the application as Ready for Review.
          Application Review Updates the status of an individual application from In Review to Ready for Decision when all reviews are complete.
          Application Decision Updates the status of an individual application from Ready for Decision to Application Decision if the Application Decision field has a value.
          Application Decision Creation Creates an application decision record for an individual application, and assigns it to the decision queue if the status of an individual application is set to Ready for Decision.
          Application Review Creation Sub-Flow Assigns three application review records to a preconfigured queue. The Application Auto-Admit flow uses this subflow.
          Application Auto-Admit

          Automatically issues an Admit decision under these conditions:

          • The status of an individual application is set to In Review.

          • The Primary Citizenship field on the applicant's Contact Profile record is set to United States.

          • All GPA records of the applicant on the Person Education object are above 75% of the grade scale.

          Create and Assign Application Reviews Assigns application review records to the queue specified on Action Plan Template Assignment records. The Admissions: Initiate Application Reviews Flow uses this subflow.

          Get Ready to Use Application Review Flows

          Complete these steps before you use the application review flows.

          Create Queues for Application Review and Application Decision Creation

          The flows Application Review Creation Sub-Flow and Application Decision Creation require that you set up queues for each part of the process. Be sure that you include the following queue names for their respective flows. See Create Queues.

          Copy and Activate a Flow

          Because they're templates, you must make a copy of the flows before you use them, and then activate the flows.

          1. From Setup, in the Quick Find box, enter Flows, and then select Flows.

          2. Choose a flow template.

          3. Click Save As.

          4. Enter a label, API name, and an optional description for your flow.

          5. Save your changes.

          6. Click Activate.

          Important
          Important To prevent data problems, activate either Application Review Creation or Application Auto-Admit, but not both.
