          Customize Attendance

          Modify how you track attendance to better suit your organization’s needs.

          • Manage Fields and Field Sets
            Make Attendance fields match what you want to track.
          • Create Custom Statuses for Service Sessions
            Create custom Service Session statuses to capture details beyond pending or complete. For example, an after school program uses custom statuses to note postponed or rescheduled field trips.
          • Modify Service Session Submitted Status
            By default, when a Service Session is submitted, the status changes from pending to complete. You can change what status applies after a session is submitted to make it match your organization's workflows.
          • Filter Attendees
            Make the list of participants more manageable for attendance takers by filtering who is visible on the attendance page.

          Manage Fields and Field Sets

          Make Attendance fields match what you want to track.

          Change what Attendance fields are available by adding or removing them from the Service Delivery object field set. You can also track different fields for different services by assigning an attendance field set to each service.

          Add or Remove Fields from the Service Deliveries Field Set

          Modify the Attendance Service Deliveries field set of the Service Delivery object to change what fields are available.

          1. In Setup, click Object Manager, then click Service Delivery.

          2. Click Field Sets.

          3. Click Attendance Service Deliveries.

          4. Click and drag a field from the list of available fields to the section labeled In The Field Set. Reverse the action to remove a field.

          5. Save.

          Add the Service Delivery Field Set Field to the Page Layout

          Before you create field sets to apply to specific Services, ensure that the Service Delivery Field Set field appears on Service records.

          1. In Setup, click Object Manager, then click Service.

          2. Click Page Layouts.

          3. Click Service Layout.

          4. Drag the Service Delivery Field Set field on to the layout.

          5. Save the page layout.

          Create and Add Field Sets for Services

          Create custom field sets for specific services.

          1. In Setup, click Object Manager, then click Service Delivery.

          2. Click Field Sets, then click New.

          3. Enter a name and label for your field set. For example, After School Services and After_School_Services for custom field to record if homework was completed.

          4. Enter where you plan to use the field set. For example, Use this for after school services that track homework as complete.

          5. Save.

          6. Select the fields that you want to display in the field set.

          7. Save.

          Select the Field Set for the Service Record

          Now, add your custom field set to the related Services.

          1. Click Object Manager again, then click Service.

          2. Click Fields & Relationships, then click Service Delivery Field Set.

          3. Scroll down to Values and click New.

          4. Enter an API name that matches your field set name you created in Create and Add Field Sets. For example, After_School_Services.

          5. Save.

          6. Click Edit next to the Value you just added.

          7. Remove any underscores from the Label field. For example, your Label field would say After School Services.

          8. Save.

          9. Navigate to the Service record that uses the field set you created. Edit the Service Delivery Field Set, then, in the picklist, select the name of the field set you created.

          10. Save.

          Create Custom Statuses for Service Sessions

          Create custom Service Session statuses to capture details beyond pending or complete. For example, an after school program uses custom statuses to note postponed or rescheduled field trips.

          First, add the new value to the Service Session Status picklist.

          1. From Setup, click the Object Manager then click Service Session.

          2. Click Fields & Relationships.

          3. Click Status.

          4. In the Values related list, click New.

          5. Add the new value. For example, Postponed.

          6. Save.

          7. Copy the API Name of the new value, as you’ll need it in the next step.

          Next, indicate if the value is either Service Session Status: Complete or Service Session Status: Pending.

          1. From Setup, enter Metadata in the Quick Find box, then click Custom Metadata Types.

          2. In the row for Bucketed Value, click Manage Records.

          3. Click New.

          4. Enter a label for the value. For example, Postponed. The Bucketed Value Name auto-populates.

          5. In the Bucket field, select either Service Session Status: Complete or Service Session Status: Pending.

          6. Paste the API Name from the previous step into the Value field.

          7. Save.

          You can configure Attendance statuses using the same steps, with some variations. Get the details in the Configure Absent and Present Values section of Configure Service Delivery Summary Data.

          Modify Service Session Submitted Status

          By default, when a Service Session is submitted, the status changes from pending to complete. You can change what status applies after a session is submitted to make it match your organization's workflows.

          1. Navigate to the Service Session page.

          2. Click Setup gear icon, then click Edit Page.

          3. Click the Attendance component to bring up the properties panel.

          4. Change the value in the Status for Service Session after attendance is submitted Status for Service Session after attendance is submitted to match the value that makes the most sense for your organization. For example, a Waiting for Approval Status.

          Filter Attendees

          Make the list of participants more manageable for attendance takers by filtering who is visible on the attendance page.

          For example, you can set it up so that attendees who have withdrawn from a program or are on the waitlist won’t show up on the attendance list. Simply edit the page and add the statuses and roles you want excluded in the Attendance component properties. When your users view the page, they won’t see the excluded statuses.

          1. Navigate to the Service Session page.

          2. Click Setup gear icon, then click Edit Page.

          3. Click the Attendance component to bring up the properties panel.

          4. Choose which parameters you want to use as filters. Your options are:

            • Excluded Service Participant Statuses: This could include statuses such as Withdrawn.

            • Excluded Program Engagement Roles: This could include roles such as Service Provider.

            • Excluded Program Engagement Statuses: This could include statuses such as Waitlisted.
