          Set Up Email Templates

          Use email templates to create branded emails with standardized content for emails sent from Student Success Hub.

          Salutations, signatures, and other standardized content in emails sent from SSH are determined by the email template that’s used. Classic email templates can use your institution's letterhead to customize the email. These templates can be designed as text, HTML (using Classic Letterhead), Custom (without using Classic Letterhead) or Visualforce. When an email template is created in SSH, it can be applied to any email sent from SSH.

          New email templates can be added, or sample email templates can be edited to customize them for your needs and institution.

          Set Up Your Letterhead in SSH

          Send personalized emails by including your institution’s letterhead.

          1. From Setup, in the Quick Find Box, enter Email, then select Email.

          2. Choose Classic Letterheads, then click Next.

          3. Click New Letterhead.

          4. Select Available for Use.

          5. Name your letterhead.

          6. Optionally, add a description of your letterhead. Only internal SSH users see this description.

          7. Save your letterhead.

          8. To customize your letterhead, from the Letterhead Sample Test page, add a logo, customize the background color, adjust the header and footer, or choose colors for the body.

          9. Save your work.

          Create an Email Template

          Set up standardized content for your emails by using email templates.

          1. From Setup, in the Quick Find box, enter Email, then select Email.

          2. Choose Classic Email Templates, then New Template.

          3. To use your letterhead, choose HTML, then click Next.

          4. If you want to start using this email template right away, select Available for Use.

          5. Fill out the following required fields.

            1. Folder—Choose the folder where you want to keep the template.

            2. Email Template Name—Name the template something that indicates its use.

            3. Template Unique Name—This field is auto completed based on your Email Template name.

            4. Classic Letterhead—Choose your letterhead.

            5. Email Layout—Choose the email layout you want to use with this template.

            6. Encoding—Choose the kind of encoding you want this template to use. (Usually Unicode UTF-8 is appropriate.)

          6. Optionally, add a description of the email template.

          7. Optionally, enter a subject line that will be used with this email template.

          8. Click Next.

          9. Customize your email content by entering the email template text in the Subject field and body fields. This is where you can create an email salutation and signature for your email. You can also customize the text by using the Formatting Controls at the top of the page.

          10. Click Next.

          11. Select which, if any, fields you want to merge.

          12. Click Copy text from HTML version to create a text-only version for accessibility purposes.

          13. Save your changes.
