          Set Up Student Success Hub App Basics

          Complete these tasks for basic configuration of your Student Success Hub app.

          • Configure Your Home Page
            Customize the Student Success Hub Home page to give your support staff what they need to get right to work.
          • Add Items to the App Navigation Menu
            By default, Student Success Hub includes key objects, such as Success Plans and Success Plan Templates, as items in the app navigation menu. Learn how to add other items to the menu, such as Alerts or Attendance Events, to give support staff access to the object's list views.
          • Optimize Tab Navigation
            Specify how you want records to open in the app: as a top-level workspace tab or as a subtab of something else. For support staff working with multiple student records, we recommend that you customize how tabs display for certain objects to optimize for usability and clarity.
          • Add Notes to the Utility Bar
            Notes support continuity and provide shared historical context for the student and the success team. Student Success Hub uses Notes, Salesforce's enhanced note-taking tool, to allow support staff to create and manage notes that respect students' confidentiality rights. Give your support staff easy access to Notes by adding it to the utility bar.
          • Show Student IDs
            Most schools and universities assign a unique student ID to each student for identification purposes. It can be helpful for support staff to see the student ID with a student's name. Specify the Contact field to use for student ID so that student IDs can be displayed and searched in the app, such as when applying a Success Plan.
          • Confirm Admin Access to the SSH Settings Page
            To verify that certain features are enabled, you as an admin need access to the SSH Settings page. Support staff don't need access to this page.
          • Add a Custom Shortcut to an External System
            Give support staff one-click shortcuts to student data that lives in an external system such as a Student Information System or a system such as Degree Works. Create a custom shortcut that lets support staff click a button to go directly from the Student Record Case to the student's record in that external system. Here's an example showing how to add a Degree Audit shortcut button to the highlights panel on the Student Record Case detail page.
          • Set Up a Knowledge Base in Student Success Hub
            If your institution uses Lightning Knowledge to maintain a library of content, you can add the Knowledge component to the Student Success Hub app. Making Knowledge readily accessible helps support staff find articles relevant to their student Cases from within the app.

          Configure Your Home Page

          Customize the Student Success Hub Home page to give your support staff what they need to get right to work.

          Student Success Hub provides higher ed orgs with a default Home page layout that includes the Today's Tasks, Today's Events, Chatter Feed, Recent Items, and the Students Not Served components. Customize it further, if desired, or customize whatever Home page layout you're using.

          1. In the Student Success Hub app, click the app navigation menu and choose Home.

          2. Click the gear icon and choose Edit Page.

          3. Drag standard or custom components from the list on the left onto the page canvas and position them as desired. For example, add Today's Tasks, Today's Events, Chatter Feed, and Recent Items to the page.

          4. Remove components you don't want on the page by clicking the trashcan icon on the unwanted component. For example, delete Quarterly Performance and Key Deals - Recent Opportunities if they're present.

          5. Save your changes.

          6. If you’re prompted to Activate the page, assign it to the Student Success Hub app, the support staff profile, and other profiles as appropriate.

          7. Exit Lightning App Builder and verify that the page looks the way you want it to.

          Add Items to the App Navigation Menu

          By default, Student Success Hub includes key objects, such as Success Plans and Success Plan Templates, as items in the app navigation menu. Learn how to add other items to the menu, such as Alerts or Attendance Events, to give support staff access to the object's list views.

          1. From Setup, search for and then select App Manager.
          2. Click the action menu for Student Success Hub and select Edit.
          3. Click Navigation Items, then add the item you want to Selected Items.
          4. Save your changes.

          After adding an object as a navigation item in the app, remember to set profile access for it. From Setup, search for and then select Profiles. On the Object Settings page for the object, under Tab Settings, select Default On.

          Optimize Tab Navigation

          Specify how you want records to open in the app: as a top-level workspace tab or as a subtab of something else. For support staff working with multiple student records, we recommend that you customize how tabs display for certain objects to optimize for usability and clarity.

          For example, Case records open by default as workspace tabs. Unfortunately, the workspace tab label for Student Record Cases displays the Case number, and support staff likely won't recognize 00001003, for example, as student Stephanie. It's more helpful to make Cases open as subtabs of Contact records so that the Contact name displays in the top tab, the Student Record Case displays in one subtab, and the Contact displays again in another subtab. It can also be useful to show Alerts as subtabs of the Student Record Case.

          1. From Setup, search for and then select App Manager.
          2. Click the action menu for Student Success Hub and select Edit.
          3. On the Navigation Rules page, select the Cases object from the list.
          4. Set Cases to open as Subtabs of Contact (Contact).

          5. Select the Alerts object from the list.
          6. Set Alerts to open as Subtabs of Student Record (Case).
          7. Save your changes.

          Add Notes to the Utility Bar

          Notes support continuity and provide shared historical context for the student and the success team. Student Success Hub uses Notes, Salesforce's enhanced note-taking tool, to allow support staff to create and manage notes that respect students' confidentiality rights. Give your support staff easy access to Notes by adding it to the utility bar.

          1. From Setup, search for and then select App Manager.

          2. Click the action menu for Student Success Hub and select Edit.

          3. On the Utility Items page, click Add Utility Item.

          4. Select Notes.

          5. Save your changes and then click Back to return to Setup.

          6. In the Student Success Hub app, verify that the utility bar shows Notes. You may need to refresh the page.

          Show Student IDs

          Most schools and universities assign a unique student ID to each student for identification purposes. It can be helpful for support staff to see the student ID with a student's name. Specify the Contact field to use for student ID so that student IDs can be displayed and searched in the app, such as when applying a Success Plan.

          1. From Setup, search for then select Custom Settings.

          2. Next to SSH Hierarchy Settings, click Manage.

          3. Click Edit.

          4. For Student ID Field, specify the API name of the Contact field used to store student IDs. In higher ed orgs, Student Success Hub specifies Student_ID__c by default. In K-12 orgs, it specifies k12kit__Student_ID__c by default.

          5. Save your changes.

          In orgs that are licensed and configured for student users and Experience Cloud sites, student IDs can also be searched in student lookup fields in these locations.

          • Add to Queue

          • Apply Success Plan

          • New Appointment

          • New Walk-In

          Student IDs also appear next to the student name in an Event's Subject line, in a support staff member's Calendar appointments when the support staff member owns the Event, and in the Attendee Snapshot in the Appointment Manager.

          Confirm Admin Access to the SSH Settings Page

          To verify that certain features are enabled, you as an admin need access to the SSH Settings page. Support staff don't need access to this page.

          1. Review the default Tab Settings for your profiles. The SSH Settings tab should be set to Tab Hidden for all profiles except for the System Administrator profile. For the System Administrator profile, the Tab Setting should be Default On. Student Success Hub configures these Tab Settings on the support staff and System Administrator profiles it includes in higher ed orgs. If necessary, update your profiles.
          2. To access the Installation Manager tab on the SSH Settings page, make sure that the Customize Application permission is enabled on your System Administrator profile. Customize Application is listed in System Permissions. Student Success Hub configures this permission on the System Administrator profile it installs.

            In addition, make sure that the System Administrator profile has access to these Apex classes: sfal.InstallerAuthorizationController, sfal.InstallerTypeSelectionController, and sfal.SalSettingsController.

          3. If desired, add the SSH Settings item to the Student Success Hub app menu. For instructions, see Set Up Student Success Hub App Basics. In higher ed orgs, Student Success Hub includes SSH Settings in the app navigation menu.

          Add a Custom Shortcut to an External System

          Give support staff one-click shortcuts to student data that lives in an external system such as a Student Information System or a system such as Degree Works. Create a custom shortcut that lets support staff click a button to go directly from the Student Record Case to the student's record in that external system. Here's an example showing how to add a Degree Audit shortcut button to the highlights panel on the Student Record Case detail page.

          1. From Setup, in Object Manager, click Case.
          2. On the Buttons, Links, and Actions page, click New Button or Link.
          3. Fill out the details.
            1. Enter a Label, for example, Degree Audit, and press Tab to populate the Name field.
            2. For Display Type, choose Detail Page Button.
            3. In the text editor, enter the shortcut's target URL. To dynamically include student-specific data in the URL (such as a custom external ID), use the merge field options above the editor to insert merge field values from the Case, Contact, or other object. Remember to check your syntax.

          4. Save your changes and click OK to acknowledge the reminder to add your button to a page layout.

            Now, add the custom button to the Case layout.

          5. In Object Manager, on Case, on the Case Page Layouts page, click Student Record Case Layout.
          6. In the palette, click Buttons, and then look for your custom button.

          7. Drag the custom Degree Audit button to the Custom Buttons section of the page layout, in the Salesforce Mobile and Lightning Experience Actions section.

          8. Optionally, if you want to remove unnecessary standard buttons in the Salesforce Mobile and Lightning Experience Actions section, click the wrench icon and drag buttons you don't want back to the palette.
          9. Save your changes.
          10. Log in as a support staff member and view a student record to verify that the custom shortcut button displays and clicks through to your target URL.

          Set Up a Knowledge Base in Student Success Hub

          If your institution uses Lightning Knowledge to maintain a library of content, you can add the Knowledge component to the Student Success Hub app. Making Knowledge readily accessible helps support staff find articles relevant to their student Cases from within the app.

          Here's how to display the Knowledge component in Student Success Hub. For Lightning Knowledge implementation details, see Build Your Knowledge Base in Lightning Experience in Salesforce Help.

          1. Verify that you have the required permissions to set up Knowledge.
            1. From the Salesforce header, click your profile photo, then click Settings.
            2. Click Advanced User Details.
            3. On your user detail page, if Knowledge User isn't enabled, enable it.
          2. Verify that you've enabled Lightning Knowledge.
          3. In the Student Success Hub app, go to any Student Record Case record.
          4. From the page header, click the gear icon. Select Edit Page to open the Lightning App Builder.
          5. From the menu of components, drag the Knowledge component to the page canvas, and save your changes.
          6. From Setup, search for and then select Profiles. Edit the support staff profile and in the Knowledge Base Permissions section, give support staff at least Read access.
          7. From Setup, search for and then select Users. For every support staff member who needs access, Edit the User record to enable the Knowledge User permission.
          8. Log in as a support staff member and verify that the Knowledge component appears in the app.
