          Anonymize Inactive Users

          With Data Management and Right to Be Forgotten (RTBF) policies, you can anonymize data for users who no longer access your org or Experience Cloud sites. Understand the unique functionality and limitations that apply when processing data on the User object.

          Required Editions

          Available in: Developer, Enterprise, Performance, and Unlimited Editions. Requires the Privacy Center license.

          When you add the User object to a privacy policy, the available processing options differ from other objects. On the Data Handling screen, you can select Anonymize User or Mask.

          Anonymize User

          This option obfuscates all standard fields automatically. You can manually configure how custom fields are masked. Whereas users typically receive email notifications that their usernames were modified, Anonymize User bypasses the notification.

          You're required to enter a new static value for the Username field, and the value must include the '@' symbol. When the policy executes, the user ID is appended as part of the new username. For example, if you enter anonymized@mycompany.com, the value becomes anonymized@mycompany.com0052x00000B8sDA after processing.

          To enable the Anonymize User option, from User Management Settings Setup, turn on Scramble Specific Users’ Data.

          Mask

          By selecting Mask, you can specify the processing rules for both standard and custom fields. Keep in mind that when you modify the Username field via Mask, an email notification is sent to the affected user.

          User Object Processing Limitations

          These limitations apply to both the Mask and Anonymize User methods.

          • You can’t delete records on the User object.
          • Privacy policies only process inactive users. Active users are excluded automatically.
